Add PDFs, Word documents, text, Markdown, CSV and HTML files to your knowledge: supported formats, the 20 MB limit, scanned PDFs and how to replace a file.

Not everything visitors ask about is on your website. Price lists, product sheets, manuals, policies and internal FAQs often live in documents. Upload them, and your agents answer from them just like from your pages.

Supported files

FormatExtensionsGood for
PDF.pdfBrochures, spec sheets, manuals, price lists
Word.docxPolicies, FAQs, internal guides
Text.txtPlain notes
Markdown.md, .markdownDocumentation exported from other tools
CSV.csvTables such as product lists or shipping rates
HTML.html, .htmPages saved from an intranet or a help tool

Each file can be up to 20 MB. Older Word files (.doc), spreadsheets (.xlsx) and slides aren't supported: save them as PDF, .docx or CSV first.

Upload a file

Open Knowledge

Open Knowledge in the dashboard and pick the site the file belongs to.

Add a file source

Choose Add source, then A file. Drop the file on the area that says Drop a file here, or choose one, or click it to pick a file.

Upload

Choose Upload file. The file appears as a source with its size, and its status moves from Waiting to Reading to Ready.

Upload one file at a time. During setup, the Reading your site step also takes files under Files: price lists, product sheets, FAQs.

When the file is Ready, open it with Details to see what ASDK read. A file is one entry in your knowledge and counts as one page toward your plan's page limit, however many pages the document has.

Make files easy to answer from

Agents find the right passage by meaning, so a file works best when each section makes sense on its own:

  • Use real headings. A PDF exported from Word or Google Docs with headings is easier to split into passages than one long block of text.
  • Name things the way visitors do. If customers say "delivery", don't write only "fulfillment SLA".
  • One topic per file where possible. A "Shipping and returns" PDF is better than a 200-page handbook with shipping on page 143.
  • Keep tables simple. In CSV files, put a header row first and one item per row. Each row should make sense without the rows above it.
  • Remove what you don't want quoted. Agents answer from everything in the file, including footnotes and internal remarks.

Scanned PDFs

ASDK reads the text in a file; it doesn't read text inside images. A scanned PDF often contains only pictures of pages, and then the source shows "We found no text in this file. If it's a scanned PDF, it may contain only images; upload a version with text." Export the original document as PDF again, or run it through a text recognition (OCR) tool first.

When an agent answers from a web page, it shows the page as a source, so visitors can read more. A file has no public address, so answers based on it show no source link. If visitors should be able to open the document, publish it on your website and let ASDK read it there instead, or link to it from a page.

Replace or remove a file

Files can't be edited in ASDK. To update one:

  1. Upload the new version with Add source → A file.
  2. When it is Ready, choose Delete on the old file's source.

Deleting a file removes it from your knowledge, and agents stop answering from it right away. To change a short fact without a file, use a text snippet or a Q&A pair instead: both can be edited in place.

Privacy

Uploaded files are stored so ASDK can read them again, and they are used only to answer questions on your site. Don't upload documents with personal data your visitors shouldn't see: anything in your knowledge can appear in an answer. Data we store explains what ASDK keeps and for how long.
