What is meeting booking? Definition for B2B websites

Meeting booking lets a website visitor pick a time on your team's calendar and confirm a call on the spot, without emails going back and forth.

How it works

A scheduling tool connects to your team's calendars, reads when people are busy, and shows the visitor only the free slots, in the visitor's time zone. When the visitor picks one, the tool creates the event, sends invitations and, depending on the tool, reminders.

Most tools let you put booking on your site in a few ways. Calendly, for example, lists three embed types on all plans: an inline embed that shows the scheduling page inside your page, a pop-up widget that adds a floating button, and pop-up text that opens the scheduler from a link (Calendly). Google Calendar's appointment schedules work with a personal Google Account or a Workspace account; schedules are created in a desktop browser, guests give their name and email, and by default there is a 4-hour minimum lead time before a slot can be booked. Some features need a Workspace or Google One subscription (Google).

Three settings decide most of the experience:

  • Meeting types: a 15-minute intro call and a 45-minute demo are different events with different availability.
  • Routing: answers to a few questions, or the visitor's company, decide which rep or team calendar is shown.
  • Buffers and notice: time between meetings and how soon a slot can be booked.

Why it matters for your website

Every extra step between "I want to talk to you" and a confirmed time loses people. A contact form that promises "we'll be in touch" adds a day of email and a chance for the buyer to talk to a competitor first. Our article on speed to lead covers why response time matters.

Booking works best after a little qualification. Showing your sales team's calendar to everyone fills it with students, job seekers and existing customers who need support. A chat assistant or short form that asks one or two questions first can offer the calendar to good-fit buyers and route everyone else to the right place. The booking, with what the visitor said, should then land in your CRM so the rep is prepared.

Example

A visitor on a logistics software site asks the chat assistant whether the product handles cross-border shipments to Mexico. The assistant answers from the product page, then asks about fleet size. The visitor says 120 trucks, which meets the sales team's threshold, so the assistant offers three slots from the regional rep's calendar. The visitor picks Thursday at 10:00 their time, gets an invitation, and the rep's CRM record shows the question and the fleet size before the call.
